Dispatches From the Edge: Avoiding Excess Baggage Charges

One of the things that I hear often from colleagues is about the cost and logistics of travelling with photo and computer equipment. Nowadays, travelling with a digital workstation is almost always a given.

I am on assignment (today) in Stockholm, and will be doing heavy image processing and backups for the duration of the trip, so having a computer in the rooms wherever I am is critical.

Taking a computer safely and securely is an absolute necessity, so we have cases made that do just that. Today, we're highlighting our VersaFlex case that we use to transport - domestically (and now internationally) our 24" iMac.

Thanks as always. I was wondering if you would elaborate on your selection of a 24" iMac vs. the possible selection/usage of the Mac Pro. Obviously portability is an issue, but what performance hits (if any) do you see as a working professional or what other advantages does the iMac provide.

I have a travel case for a tower as well, and for a 30" monitor, but it's got to be a big production AND have excess baggage charges to cover both of those - they usually travel with us by vehicle.

I haven't done a time on the 24" vs. the MBP, but the client sure likes seeing the images on a 24" machine, for sure.

I'd love to know how you secure (or feel secure about) leaving your setup in the hotel room.

When I travel to LA for the Oscars, I always find myself lugging our laptop and cameras around because so far I haven't felt safe leaving them at the hotel.

I run a imac 24" and a MBP setup and I'm now using Teleport and it seems great thanks for the tip.
Delane, I was back and forth with the imac vs MP and went with the iMac and I'm very happy with it. I got a 750 GB HD, upgraded the graphics card and max the ram and it's really fast. I run Aperture and it runs like a dream. If find I like to upgrade hardware every 3 years, with the MP I would need to hold on to it longer to make it cost effective. I know you can upgrade the MP but I know I'll just want newer and faster in 3 years. New large camera files and new software in 3 years who knows what you'll be dealing with. Still working out the best way to sync the two computers.

Domestically, you can avoid a lot of overweight and oversize hassles by flying Southwest Airlines. From their website:

# Camcorders are allowed in or as carryon baggage. If carried separately from the one allowable carryon baggage, the camcorder will be counted as your one personal item.
# Media cameras are exempt from the sizing box restriction imposed on other carryon luggage, and, if carried onboard, must be stowed in accordance with FAA safety regulations. If the camera is to be secured in a seat, however, a ticket must be purchased for that seat.
# Camera, film, video, lighting, and sound equipment will be accepted when presented by a representative of a network or local television broadcasting company or a commercial filmmaking company. A fee of $25 will be charged for each item in excess of the free baggage allowance. Media equipment will not be assessed oversize or overweight charges.

It's worth being classified as a "commercial filmmaking company". I had my business cards changed to match this language.

the bag is great and it seems to be just perfect for the computer...

though I would be really uncomfortable sending it through checked luggage, I mean, what happens when you discover that your lugagge is missing? I would at least faint...
but of course, I imagine your computers are insured and all the info in there is backed-up back at the office... but still, it takes courage to send your computer through the checked luggage.

No extra baggage charges for the first two inlcuding others that are traveling with you.. Bonafide pro shooters (APA or ASMP or WHNPA card) $50.00 per bag extra. Also applies to film crews. Called MEDIA RATE

Nice video John, very informative and it really helps other photogs get a better feel for being professional with appropriate equipment for client presentation, but not going overboard with costs.

Hi John, you've just answered a question I've been asking myself for quite some time. Thank you.

I'm based in the UK and contacted i-Lugger about their 24" i-mac case a few months ago. The postage costs were $60 or more, I forget exactly. I wasn't in a rush to receive the case at the time so I asked for alternative and cheaper shipping options and all I got back from their customer service department was a very unhelpful one line answer, saying they were unable to do that. There was only one postage option which I didn't like and furthermore, I found it difficult to believe that it was "impossible" to post it any other way.

So in the end I didn't order and continued using the box it came in to travel within the UK. From a protection point of view that's not too much of a problem, but stopping in service stations on motorways is tricky because it doesn't fit in the car boot [trunk] which means it's in full view on the back seat. Service stations here as I'm sure is true in the USA are notorious for theft, by nature of where they are and a 40 inch white box with a photograph of a mac on the side of it isn't very easy to cover up.

I've got a long haul coming up though and have been looking for something else that will allow me to transport the mac.

Peli do a specific 24" i-mac case but of course as with all Peli cases, they weigh a substantial amount themselves which tips them over the 20/23/24kg restrictions that airlines have and thus increases the bill, which in turn makes my estimates less competitive.

The Versa-Flex looks like the solution.
